Overview

The Office Manager provides administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.

Job Description

In this role as Office Manager you will:  

 

  • Responsible for providing administrative office functions and support, including but not limited to filing, maintenance of records, data input, correspondence, e-mail messaging, handling incoming mail, and answering incoming telephone calls, as well as meeting follow-up.
  • Greet and assist visitors. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Act as liaison between employees and building/facilities management.
  • Code and process invoices ensuring all payments are made timely, accurately and in compliance with the company’s policies and procedures (checks, wires, ACH and credit card).
  • Handle vendor invoice inquiries and account discrepancies.
  • Schedule conference calls as needed and maintain the conference rooms schedule logs.
  • Generate courier (i.e. FedEx) waybills, as needed, including weekly mailings to other offices and process & code courier invoices & supervise courier account(s).

 

Your experience and background include:

 

  • Minimum two (2) years Administrative Assistant experience providing support to management required; experience in a Human Resources department or highly confidential environment strongly preferred; managing projects is a highly preferred.
  • Intermediate skill level in Microsoft Word, Excel, PowerPoint and Outlook required; knowledge of Microsoft Visio a plus.
  • Excellent interpersonal and communication skills – oral, written, and listening; professional appearance and ability to maintain the confidentiality required of the organization and department
